Choosing a factory is the biggest decision in a private label launch. A low quote means little if the product is inconsistent or the paperwork is missing. Use this checklist when you compare suppliers.

1. Quality system and factory standards

Ask which quality standards the production site follows, such as GMP, and whether you can see certificates. Ask which factory will actually make your product, because some suppliers outsource. NicoEra produces nicotine pouches at production bases in Indonesia and Macau, with formulation led from our Shenzhen R&D site.

2. Batch documents

Every batch should come with a Certificate of Analysis and a material safety data sheet. Ask what the CoA covers. Useful checks include nicotine content, heavy metals and microbial limits.

3. Consistency checks

Ask how the factory keeps flavor and strength the same from batch to batch. Methods such as gas chromatography flavor fingerprinting and retained samples help catch drift. We compare retained samples at 0, 1, 2 and 3 weeks to check stability.

4. Samples

A good supplier makes sampling easy and takes feedback seriously. Ask how many sample rounds are included, how long they take and who pays for shipping.

5. Capacity and lead time

Ask for monthly capacity and a firm lead time. Make sure the factory can handle your first order and still has room if your volume grows. Having more than one production site reduces the risk of a bottleneck.

6. MOQ and terms

Compare MOQs on equal terms. Check whether the minimum is per flavor or per order, and what the payment and shipping terms are. See how we set ours in MOQ, lead time and cost factors.

7. Formulation support

If you do not have your own formula, ask whether the supplier has a research team and base formulations. Check who owns the final formula. Our guide to OEM vs ODM explains the difference.

8. Regulatory and labeling support

A supplier should be able to produce to your destination-market label requirements, but should be honest about what they cannot do for you, such as market authorization.

9. Communication

Notice how fast and how clearly a supplier answers during the quote stage. It is a good preview of how they will communicate during production. We reply to all OEM/ODM inquiries within 24 hours.
